Introduction

Sol Plaatje University seeks to appoint a Receptionist (P17) within the Office of the Deputy Vice Chancellor: Research. This role requires managing the front desk while providing administrative and clerical support to facilitate the smooth operation of the department and to contribute towards achieving the University’s strategic goals.

Location: Upington, Northern Cape
Closing Date: 14 July 2025
Type: 12-month Contract

Minimum Requirements

  • Grade 12 with a relevant NQF 5 Certificate
  • At least 2 years of relevant working experience
  • Computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

Duties and Responsibilities

Front Desk Management

  • Provide professional reception services to internal and external clients.
  • Answer calls, take messages, and direct calls appropriately using proper telephone etiquette.
  • Handle the flow of visitors and clients, directing them as required.
  • Keep the reception area tidy, presentable, and stocked with necessary materials.
  • Maintain office security by following procedures and controlling access.
  • Make attendance registers and application forms available to clients and visitors.

Procurement and Payments

  • Plan and execute the procurement of consumables, goods, and services.
  • Track procurement processes to ensure timely payment of invoices.

Programme Assistance

  • Assist colleagues with tasks related to various Centre programmes.
  • Maintain records of income and expenditure for various programmes.

General Administration

  • Perform administrative duties such as filing, photocopying, transcribing, and minute-taking.
  • Coordinate meetings and arrange catering as required.
  • Maintain document filing and archive documents older than three years.
  • Distribute and collect feedback sheets and collate data.
  • Conduct surveys with clients.

Upington Learning Centre (ULC)

  • Assist students in accessing ULC facilities and direct them to relevant SPU contacts for further assistance.

Cleaning Supervision

  • Monitor and allocate tasks to the cleaner.
  • Ensure compliance with OHS Act requirements.

Communication

  • Liaise internally with clients, staff, and students across University departments.
  • Liaise externally with other universities, DHET, donors, and learning sites.
